Last updated: September 2026

Prepared in terms of Section 51 of the Promotion of Access to Information Act 2 of 2000 ("PAIA"), read with the Protection of Personal Information Act 4 of 2013 ("POPIA")

Part A: Introduction

This manual is published in accordance with section 51 of PAIA to help members of the public and data subjects understand:

  • What kinds of records Kleva Academy holds;
  • How to request access to those records under PAIA; and
  • How to exercise your rights regarding your personal information under POPIA.

This manual should be read together with our Privacy Policy, Terms of Service, and Refund Policy.

Records available without a formal request

The following are voluntarily available on our website without needing to submit a PAIA request:

Part E: How to Request Access

E.1 Requests for your own personal information (POPIA)

If you are asking to access, correct, or delete your own personal information (e.g., your learner account data, quiz history, or payment records), you do not need to submit a formal PAIA request. Simply contact us via the Support tab or support@klevaacademy.co.za, and we will process this in line with your rights under POPIA, as described in our Privacy Policy. We aim to respond within a reasonable time and, where required by POPIA, within the statutory timeframes.

E.2 Formal PAIA requests (for other records, or by third parties)

To request access to a record not covered by E.1 — for example, records relating to someone else, or non-personal business records — you must submit a formal request using the prescribed form (Form 2, under the PAIA Regulations), available from the Information Regulator's website, or by requesting a copy from our Information Officer.

Your request should include:

  • Sufficient detail to identify the record requested;
  • Your name, contact details, and (if requesting on behalf of someone else) proof of authority to act for them;
  • The form of access you prefer (e.g., copy, inspection, electronic format); and
  • The applicable fee (see E.3).

Requests may be submitted to the Information Officer at the contact details in Part B.

E.3 Fees

A request fee and, where applicable, an access fee may be payable in accordance with the fee structure prescribed under PAIA Regulations. We will advise you of any applicable fee once your request is received. Fees may be waived in cases of financial hardship, at our discretion, in line with PAIA.

E.4 Response Timeframes

We will respond to a formal PAIA request within 30 days of receipt, as required by PAIA, unless an extension applies (in which case we will notify you of the extension and reasons, as permitted under section 26 of PAIA).

E.5 Grounds for Refusal

Access to a record may be refused on grounds permitted under PAIA, including (but not limited to) where the record contains:

  • Personal information of a third party that would unreasonably invade their privacy;
  • Commercially sensitive or confidential business information;
  • Information subject to legal privilege.

Where a request is refused, we will provide written reasons and inform you of your right to appeal or approach the Information Regulator or a court, as applicable.

Part F: Right to Lodge a Complaint

If you are dissatisfied with our handling of a PAIA request, or with how we have processed your personal information under POPIA, you may lodge a complaint with:
